This Privacy Policy explains how GeoTools Suter («we», «us») processes personal data when you use Syync at syync.cloud (the «Service»). We process data in accordance with the Swiss Federal Act on Data Protection (FADP) and, where applicable, the EU General Data Protection Regulation (GDPR).

2. Scope
This policy applies to visitors of our website, registered users, and anyone who uploads BOOX/Onyx note backups or uses export and sync features.
3. Categories of data we process
Depending on how you use the Service, we may process:
- Account data: email address, hashed password, account creation date
- Uploaded content: BOOX Notes backup files (ZIP), extracted note metadata, converted PNG/PDF files, folder structures
- Usage and technical data: IP address, browser type, request timestamps, error logs, conversion job status
- Communication data: messages you send to us (e.g. support email)
- Future Pro features: billing data if you subscribe (processed via our payment provider; we do not store full card numbers)
4. Purposes and legal bases
We process personal data to provide and operate the Service (account management, upload, conversion, export, sync), to secure our systems, to improve the Service, to communicate with you, and to comply with legal obligations.
Under the FADP, processing is based on your consent (where required), performance of a contract (use of the Service), legitimate interests (security, abuse prevention, product improvement), or legal obligations.
5. Storage and retention
Account data is retained for as long as your account exists. Uploaded notes and exports are stored until you delete them or close your account, unless longer retention is required by law.
Server logs are typically retained for a limited period (e.g. 90 days) unless needed for security investigations.
After account deletion, we delete or anonymise personal data within a reasonable period, except where backup copies or legal retention duties apply.
6. Processors and international transfers
We use infrastructure and service providers (hosting, email, optional payment, background job queues) who process data on our behalf under contractual safeguards.
If data is transferred outside Switzerland or the EEA, we ensure appropriate protection (e.g. standard contractual clauses, adequacy decisions, or other measures recognised under FADP/GDPR).
7. Security
We implement technical and organisational measures appropriate to the risk, including encrypted transport (HTTPS), access controls, and isolated storage for user content. No method of transmission over the Internet is 100% secure; we cannot guarantee absolute security.
8. Your rights
Under applicable law you may have the right to access, rectify, erase, restrict processing, data portability, and to object to certain processing. You may withdraw consent at any time where processing is consent-based.
You may lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC) or, if you are in the EEA, your local supervisory authority.

9. Cookies and local storage
We use essential local storage (e.g. authentication token, language and theme preferences) required for the Service to function. We do not use third-party advertising cookies on syync.cloud.
You can control cookies through your browser settings; disabling essential storage may limit functionality.
10. AI features (planned)
When handwriting recognition or other AI features become available, we will process note content for the stated feature only, with updated information in this policy. Pro subscribers will be informed before such processing begins where required by law.
11. Changes
We may update this Privacy Policy from time to time. The current version is published on syync.cloud with the date above. Material changes will be communicated where appropriate (e.g. by email or in-app notice).
